WhatsApp automation

What is WhatsApp automation?

WhatsApp automation is the use of software to send, answer and route WhatsApp messages for a business automatically, based on triggers, rules or AI, instead of a person typing each message. Done properly, it runs on Meta’s WhatsApp Business Platform, not on the phone app.

What can be automated on WhatsApp

Almost any message that follows a pattern. The most common automations for Indian businesses are:

  • Instant replies to new enquiries, including answers to common questions
  • Lead qualification (need, budget, timeline) before a salesperson steps in
  • Follow-up sequences that stop when the customer replies
  • Appointment confirmations and reminders
  • Order updates, payment requests and invoices
  • Personalised template broadcasts to opted-in customers

Rules, flows and AI: three levels of automation

Rules react to events: “when a lead arrives from an ad, send the welcome template and assign it to the sales team”. Flows guide a customer through a fixed journey with buttons and forms. AI answers free-form questions from your documents.

Most businesses need all three: rules for reliability, flows for structured tasks, and AI for everything customers ask in their own words.

What WhatsApp automation should not do

It shouldn’t message people who haven’t opted in, and it shouldn’t pretend to be a human when a customer needs one. On the official platform, business-initiated messages outside the 24-hour service window must use Meta-approved templates, which is a safeguard for your number as much as for customers.

Example

A coaching institute runs Meta ads. Each form fill triggers a WhatsApp welcome with the brochure, the AI Employee answers batch and timing questions, a flow books a counselling slot, and a reminder goes out the day before.
